    • By-laws review has been completed by Renee, Cythia and Kelly.  Completed by-laws are going on the website.  Membership has 2 months to review.  We will vote on them at the January meeting.

    • Dues are now due.  They can be submitted online, through PayPal or to Susan at a meeting.
    • Christmas Ornament request - Glen Allen Cultural Arts Center has again invited us to decorate a Christmas Tree.  Bring your ornaments to the November meeting.  Each ornament will earn a raffle ticket.
  • Mary Kearney from Central Virginia Fiber Mill gave her presentation on fleece preparation process and introduced the group to silk hankies.
    • Mary’s pricing information is on her website.
    • Removal of debris before submission can help manage the cost.
    • Approximately 6 months to process from fleece to roving.

      • Glen Allen Cultural Center’s “Glass Case Gallery” display - We will have the space Monday 9/11 - Monday 11/6.
      • Volunteers requested to assist Susan, Renee and Laura on the display design, installation and removal.  Current volunteers for installation on 9/11 are Porter, Cindy, Bret and Jodi.  More are welcome.
      • Ideas or items for inclusion can be brought up at future meetings.  All items need to be submitted by the August meeting and will be inaccessible for the duration of the display.  If an item is loaned, a tent card explaining what it is, or how it was made, would be welcome.  Flow of display will focus on the process (fiber, tools, end products).
      • New exhibit open house will be 9/14 from 6-8.  Demo volunteers are needed.
    • 501(c)3 still in process under revised name Clotho’s Handspinner Guild.  Reapplication will require articles of incorporation, which are in process.  Renee is submitting Federal and state registration paperwork.
    • By-laws review has been started. Cynthia and Kelly are assisting and the process is nearly finished.  Completed by-laws will be brought to a future meeting for member review.
    • Website refresh  still in process- reminder to members to review “About” page and provide suggestions for retooling and to consider any missing information (Issues can be discussed at meeting, or brought to the attention of Renee, Karen and Susan B).

    • Insurance needs for when tent used discussed, reminder for using weights in all settings was made.  There have been instances of canopies blowing away and memberships wants us to be safe.  We will consider purchase of additional insurance when demonstration sites don’t carry their own.
    • Susan shared the shawl resulting from Scotchtown weaving, which used fiber spun by the guild in previous settings.

    • Martha Polk from the Chesapeake Fiber Shed will be a speaker at the June meeting.

      • The IRS looked into reinstating, but as of 3.18.23 we still don’t show up on the IRS website.  We’re also not on the state website.  As there is a cost to reinstate, it was decided a new process with an updated name was more desirable.
      • By-laws will need to be submitted with the new entity process.  Volunteers for the by-law committee are requested.  Lynn will do a preliminary comparison of our existing original by-laws to those of other guilds she’s a member of.  Cynthia Haney will do an additional reading.  Other participants welcomed eagerly.

    • Website refresh
      • Website refresh and retooling will be an ongoing project over the next year.  Issues can be brought to the attention of Renee, Karen and Susan.  Current page to review is the “about” page.
    • Where to put members’ contact information?
      • Contact information for members will be added as a page behind the membership wall, rather than a pdf.  If physical copy is desired, contact Renee directly, but understand it may not be the most current information.

      • Susan will manage the lease agreement between Clothos’ Handspinners and the Glen Allen Cultural Arts Center. We pay $20/day for use of the center. Susan will inquire about storage space.

    • Center of the Yarniverse is a sponsor this year.
    • Volunteers for spinning, weaving and dyeing demonstrations were requested.  Volunteers get free access to the day’s Fiber Festival.  Volunteers should plan to bring their own chair.  Additional volunteers can sign-up at next meeting, or email through website.  Full day is not required.
    • Pat Brodowski will lead a dyeing demonstration with assistance from Porter and Kelly.  Additional help is welcome.
    • Cindy will demo flax and weaving
  • Future Treasurer reports will be given quarterly.  Expenses over $250 will require membership vote.
  • Sandwich board with handle and dry erase space for future events and meetings was discussed.  Guild plans to move forward with 24 x 18 sign using our artwork and name “Clotho’s Handspinners”
  • Laura created “New Member” packet to give to new members at their first in-person meeting.
  • Chesapeake Fiber Shed mentioned by Cindy.  They are currently doing a Flax project where seeds can be requested.  Additional information on their website.  Upcoming March 19th Zoom meeting will discuss dye plants including phytoremediation and pollinator plants that are dye plants.

  • 501(c)3 status was originally issued in 1997, but appears to have lapsed.  Renee has talked with the IRS about getting it reactivated.  The IRS is doing some research.  We will discuss the IRS findings and possible fees for reinstatement as the information becomes available.
  • Pat Brodowski brought her book Plants & Flowers for Natural Dyeing.  Copies can be acquired for $40 from Clemes & Clemes website, by emailing Pat at PatBFarm@hotmail.com, or by attending workshop on 3/11 - 3/12 at Wollam Gardens

Miscellaneous:

  • Suggestion to add photo permission to future due renewals.
  • Most Christmas ornaments were returned during the retreat. If you did not get yours, please see Susan.
  • Additional payment methods of Venmo & Paypal are being explored for raffle payments. Currently, Paypal has been tested using treasurer@clothos.org
  • Informal Cold Sheep challenge was discussed - the idea is to complete a selected portion of works in progress before buying any new fiber.
  • Classifieds are believed to be functional. Contact Karen K (Website manager) if issues are discovered.

  • Saturday: Maggie and Susan presented a tatting workshop and assisted multiple members on both days in learning this new skill.
  • Sunday: Spinning mohair was presented by Alison who kindly donated both combed and locks of mohair for experimentation.
  • MAFA - pre registration opens soon. Natalie will be sending out the registration information in the upcoming newsletter, or individuals can go to MAFAFiber.org. Reminder that Clothos members are MAFA members and can register early. This year will have virtual and in person classes. If members take a class, and are willing to teach a class on the topic to the rest of the guild, the guild will reimburse a portion of the class fees.
  • External Workshops were discussed. Judith McKenzie will not respond to contacts. Most instructors will do a Zoom class. The possibility of doing a Zoom class at the Chesterfield Library was discussed.
  • A survey will be sent out to gauge interest. Those that reply will get a free raffle ticket for their participation.
  • Contact list for member access only was updated. If you want your information excluded you can skip providing an update to Karen K.
